Wedding Painting Services – Terms & Conditions

1. Introduction

These Terms & Conditions apply to all wedding painting services provided by Alice Graves Art (“the Artist”, “I”, “me”, “my”) to the person booking the service (“the Client”, “you”, “your”).

By booking my services, you confirm that you have read, understood and agreed to these Terms & Conditions.

2. Booking & Contract

A booking is considered confirmed once:

  • A completed booking form has been received;

  • The booking fee deposit has been paid; and

  • Written confirmation has been provided by the Artist.

Until these steps are complete, your date will remain available for other enquiries.

The person making the booking confirms that they have authority to enter into this agreement and accept these terms on behalf of anyone else involved in the booking.

3. Pricing & Payment

The total price of your wedding painting will be confirmed in your personalised quote.

A non-refundable booking fee of 50% of the total cost is required to secure your wedding date.

The remaining balance must be paid no later than 30 days before the wedding date. This deadline will be confirmed on your booking form.

If payment is not received by the agreed deadlines, the Artist reserves the right to cancel the booking and retain any payments already made.

Additional costs, including but not limited to travel fees, accommodation, postage or additional artwork requests, will be agreed with the Client before being added to the final invoice. Payment of the final invoice must be made by the date stated on the invoice, usually 30 days from issue.

4. Availability & Wedding Date Changes

Your date for live wedding painting services is reserved exclusively for you once your booking is confirmed and your deposit has been paid.

If you need to change your wedding date, the Artist will make reasonable efforts to accommodate the new date, subject to availability. If the Artist is unavailable on the revised date, this will be treated as a cancellation by the Client and subject to the cancellation policy.

5. Cancellation by the Client

If you wish to cancel your booking, please notify the Artist as soon as possible.

Due to the nature of wedding bookings and the date being reserved exclusively for your event:

  • The booking fee is non-refundable.

  • Payments already made may not be refundable depending on the timing and circumstances of cancellation.

The Artist reserves the right to retain fees where work has already commenced, including preparation, planning, sketches, materials or administrative time.

6. Cancellation or Illness by the Artist

In the unlikely event that the Artist is unable to attend due to illness, emergency or circumstances outside of their reasonable control, every effort will be made to provide a suitable alternative.

This may include arranging a replacement artist where appropriate, rescheduling where possible, or providing a refund of payments made for services not delivered.

The Artist shall not be liable for any additional losses, costs or expenses incurred by the Client as a result of circumstances outside of reasonable control.

7. The Wedding Day

The Artist will arrive at the agreed time and location and complete the painting process as discussed with the Client.

The Client is responsible for ensuring:

  • The venue permits live painting;

  • Suitable space is available for the Artist to work;

  • The Artist has reasonable access to the chosen painting area;

  • Adequate lighting and safe working conditions are provided;

  • Food, refreshments and breaks will be provided for the Artist.

The Artist will work professionally and respectfully alongside guests, suppliers and venue staff.

The Artist cannot guarantee that specific details, guests, or background elements will be included unless specifically agreed in advance in writing.

The Artist cannot make changes on the wedding day to the agreed booking in response to the Client or in response to attending guests as standard. If changes are requested (e.g. due to the weather) these will be discussed and accommodated where possible.

8. Choice of Scene & Painting Details

The Client will request details of the chosen moment, composition and any important elements they wish to be included, and these will be recorded on the booking document.

The Artist will use their professional judgement to create the final artwork. Due to the handmade nature of artwork, the finished painting will not be an exact photographic reproduction and changes may be required e.g. due to the weather, changes in schedule, delays, etc.

Small differences in colour, positioning, interpretation and artistic style are to be expected and form part of the uniqueness of a hand-painted piece.

9. Artwork Completion & Delivery

The live painting completed on the wedding day will usually be refined further in the Artist’s studio afterwards.

The final artwork will be completed within approximately 8-16 weeks after the wedding, depending on workload and complexity.

The Artist will provide updates where appropriate.

Delivery or collection arrangements will be agreed with the Client. Any additional delivery costs will be confirmed before being charged.

10. Client Approval & Changes

The Client understands that commissioned artwork is a creative service and not a manufactured product.

Reasonable adjustments may be considered where possible, however extensive alterations requested after completion may incur additional charges.

The Artist reserves the right to decide whether requested changes are feasible within the original commission.

11. Materials & Artwork Care

The Artist will use professional-quality materials suitable for long-term display.

The Client is responsible for caring for the finished artwork once delivered.

The Artist cannot accept responsibility for damage caused by incorrect storage, handling, exposure to unsuitable conditions, moisture, direct sunlight or other external factors.

12. Copyright & Use of Artwork

Copyright of the artwork remains with the Artist unless otherwise agreed in writing.

The Client receives ownership of the physical painting only.

The Artist retains the right to photograph and display images of the artwork for portfolio, website, social media, marketing and promotional purposes unless the Client requests otherwise in writing.

The Client may share photographs of the artwork for personal use but may not reproduce, sell or commercially use the artwork without permission.

13. Photography & Social Media

The Artist may capture photographs or videos during the wedding day for promotional purposes.

The Client should notify the Artist before booking if they do not wish images of themselves, their guests or their artwork to be used publicly.

The Artist will respect reasonable privacy requests.

14. Force Majeure

The Artist shall not be responsible for failure to perform services due to circumstances beyond reasonable control, including but not limited to extreme weather, illness, accidents, government restrictions, venue closures, transport disruption or other unforeseen events.

15. Liability

The Artist will take reasonable care when providing services but cannot accept responsibility for:

  • Circumstances outside their control;

  • Venue restrictions;

  • Guest interference;

  • Delays caused by the wedding schedule;

  • Loss or damage caused after delivery of the artwork.

The Artist’s liability shall not exceed the total amount paid by the Client for the services provided.

16. Complaints

The Artist aims to provide an exceptional experience and welcomes feedback.

Any concerns should be raised in writing within 14 days of receiving the final artwork, allowing the Artist the opportunity to address the issue.

17. Privacy

Personal information provided during the booking process will only be used for communication, administration and delivery of the agreed services.

Information will be handled in accordance with applicable data protection laws.

18. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes will be subject to the jurisdiction of the courts of England and Wales.
